CrewFields Privacy Policy

CrewFields helps service businesses manage clients, employees, job requests, jobs, schedules, messages, documents, estimates, invoices, receipts, expenses, payroll records, time cards, vehicles, maps, company portals, QR access, notifications, CrewFields Connect community posts, and AI-assisted drafts.

INFORMATION WE MAY COLLECT

Company information: company name, username, access code, QR access value, logo, cover photo, contact details, country, currency, services, business description, service area, reviews, and portal content.

Account information: username, password hash, password salt, recovery email, subscription plan, trial status, app appearance, language, staff access settings, and recent staff sign-in activity.

Client information: names, phone numbers, emails, addresses, project details, photos, documents, messages, requests, reviews, and preferred contact details.

Employee information: names, roles, active status, login name, staff access status, last sign-in date, assigned jobs, assigned locations, photos, reports, time cards, hourly payroll rate, and internal notes.

Job and schedule information: job details, requests, addresses, assigned employees, calendar items, tasks, status, progress, reports, photos, files, notes, and job history.

Messages and uploads: message text, sender, timestamps, photos, documents, receipts, file names, and related metadata.

Accounting and document information: estimates, invoices, payment status, due dates, Venmo username/link/QR, receipts, expenses, revenue summaries, CSV exports, PDFs, and payroll summaries.

Vehicle and map information: vehicle details, manually entered map locations, and Traccar settings when configured.

CrewFields Connect information: posts, comments, likes, saves, photos, videos, captions, and timestamps that you choose to share in the CrewFields Connect community feed, along with reports you submit about other users’ content and records of moderation actions taken on your own content.

Notification information: local notifications, push notification tokens, and related notification records.

AI usage information: prompts, images or OCR text submitted for receipt/document assistance, generated draft content, and usage counts.

Technical information needed to sync, secure, support, troubleshoot, and operate the app, including Firebase identifiers, device tokens, and app configuration data.

HOW WE USE INFORMATION

We use information to create and manage company and staff accounts; show company portals to clients and allow QR-based company access; let clients search companies, scan QR codes, send job requests, upload photos and documents, message companies, leave reviews, and participate in CrewFields Connect; let companies manage jobs, schedules, employees, staff access, messages, vehicles, maps, documents, estimates, invoices, receipts, expenses, payroll records, time cards, and notifications; calculate subscription access based on employee counts; generate PDFs, CSV exports, QR images, and accounting records; send notifications for requests, messages, time cards, receipts, job assignments, reminders, and overdue invoices; display, distribute, and moderate CrewFields Connect posts and comments, including using automated filters, user reports, and manual review to screen, hide, disable, or remove content that violates our Terms; sync data across devices and connected services including Firebase and StoreKit; provide AI-assisted drafts and extraction; and support, protect, troubleshoot, and improve CrewFields.

CLIENT CONTENT, PHOTOS, DOCUMENTS, AND REVIEWS

Clients and staff may submit requests, photos, documents, receipts, messages, and reviews to companies. Companies are responsible for using that information properly and responding to deletion, access, or correction requests when applicable. Reviews should be real, honest, and based on actual customer experiences.

CREWFIELDS CONNECT

CrewFields Connect is a community feed where companies, authorized employees, and clients can post and view updates, photos, videos, comments, likes, and saves. Content you post to CrewFields Connect may be visible to other companies, staff, and clients using CrewFields, so do not share information you do not want visible to other users of the feed. You can report or hide posts and comments, and request removal of your own content, using in-app tools or by contacting support. CrewFields may use automated filters, user reports, and manual review to screen, hide, disable, or remove content, and to suspend or restrict accounts that repeatedly violate our Terms.

AI

CrewFields AI may process prompts, OCR text, receipt images, and user-provided content to generate drafts or suggested fields. AI output may be inaccurate or incomplete. A human user must review and approve AI output before saving, sending, printing, or relying on it. Do not submit unnecessary sensitive personal information, payment card data, government IDs, or health information to AI features.

DATA SHARING

CrewFields may share data with service providers needed to operate the app, such as cloud database, storage, push notification, AI, app platform, payment/subscription, mapping, and optional GPS tracking services. Content you post to CrewFields Connect is also shared with other users of the app who can view the feed. We do not sell personal information. If you scan a company’s QR code, it may open that company’s own website, booking page, or online profile; CrewFields does not control and is not responsible for the privacy practices of those third-party sites.

DATA RETENTION AND DELETION

Companies can delete company data from Settings when available for their account. Some temporary copies, technical logs, backups, or records required for legal, security, tax, or operational reasons may remain for a limited time. Company data also syncs across a company’s authorized devices; when a user deletes an item, it is removed from synced devices going forward, but deletion is not guaranteed to be immediate or fully recoverable.

SECURITY

CrewFields uses reasonable safeguards, including hashed passwords for local app credentials and Firebase security features where configured. No system is completely secure.

CHILDREN

CrewFields is intended for businesses, their staff, and clients. It is not intended for children.

INTERNATIONAL USE

CrewFields may be used in different countries. Companies are responsible for complying with local privacy, labor, payroll, tax, and data protection laws.
